Church directory welcome letter templates

The first page of a photo directory is usually a short letter. Here are five you can copy, adapt, and drop straight into your book — plus what belongs in one and where it should sit.

What to include

  • A greeting that names the congregation and the year
  • One or two sentences on why the directory was made
  • A line on how to use it — and how to get details corrected
  • A privacy note: church purposes only, not for solicitation
  • A sign-off from the pastor, the committee, or both

Keep it to half a page. A welcome letter that runs long stops being a welcome and starts being a report.

1. From the pastor

Dear friends, It is a joy to place this directory in your hands. These pages hold the faces and names of the people we worship alongside each week — some for decades, some for only a few Sundays so far. Use it to put a name to a face, to reach someone who has been on your heart, or to welcome a family you have not yet met. Please treat the information here as a trust between us: it is for the life of our congregation, not for wider distribution. With gratitude for each of you, Pastor [Name] [Church Name]

2. From the directory committee

Friends, After several months of photographs, spreadsheets, and gentle reminders, our new church directory is complete. Thank you to everyone who sent in a photo, corrected a phone number, or stayed after service to be photographed. You will find members listed alphabetically, with our pastors, elders, and ministry teams grouped in their own sections. If your details have changed, or you would like to be included in the next edition, please contact [Name] at [email]. Warmly, The [Church Name] Directory Committee

3. A short general welcome

Welcome to the [Year] directory of [Church Name]. Our hope is simple: that these pages help us know one another better. Please keep this copy at home where you can reach for it — and please use it kindly, for the purposes of our church family alone. Grace and peace, [Church Name]

4. For a new or growing congregation

Dear [Church Name] family, This is our first directory, and it is already out of date — which is a wonderful problem to have. In the past year we have welcomed [number] new households, and we expect to welcome many more before the next edition. If you are new here, this book is one of the quickest ways to feel at home. Find a familiar face, then find one you do not recognize yet, and introduce yourself this Sunday. In Christ, [Pastor or Leadership Team]

5. For a milestone or anniversary edition

Dear members and friends, This directory marks [number] years of [Church Name]. Alongside the photographs of our current members you will find a short history and a few pages from our archives. Some of the names in these pages have been with us since the beginning; many are new this year. Together they are the congregation as it stands today — and a record for whoever opens this book decades from now. With thanksgiving, [Pastor Name] and the [Anniversary] Committee

Where the letter goes

Directly after the cover, before the first photo page. In Winslow Directory you add it in the Pages tab as a text page, type or paste the letter, and drag the page to the top of the document. Frequently asked

What should a church directory welcome letter include?

Who should sign the welcome letter?
